How I trained AI to Automate My Week: A Beginner’s Case Study

The idea of using AI to “automate your life” can feel vague or intimidating — especially if you’re not a developer or a tech professional.

So in this post, I want to show you what it actually looks like when a real person (like you or me) uses AI tools to automate an entire week — step-by-step.

No jargon. No code. Just tools, prompts, and results.

This case study will cover:

  • The tools I used and why

  • How I set up my workflow

  • The specific tasks I automated

  • What worked (and what didn’t)

  • How much time I saved by the end of the week

Tools Used for the Week

ToolPurpose
ChatGPTWriting help, planning, ideas
MotionAuto-scheduling tasks and work blocks
Notion AITask logging, content creation, journaling
Otter.aiTranscribing meetings and creating summaries
GrammarlyEditing and improving writing tone

The Setup: My Week Before AI

  • ❌ Constantly switching between tools

  • ❌ Manually writing every email, proposal, and blog draft

  • ❌ Wasting time retyping notes from Zoom calls

  • ❌ Overwhelmed by my calendar

  • ❌ Ending each day mentally exhausted

Step 1: Planning with ChatGPT

I started the week by prompting ChatGPT:

“Act as my productivity coach. I work 5 hours a day and have 3 client calls, 2 blog articles to write, and personal errands. Help me schedule my week.”

It generated a schedule that looked something like:

  • Monday: Deep work block + content writing

  • Tuesday: Calls + admin

  • Wednesday: Creative focus (writing, content ideas)

  • Thursday: Overflow + errands

  • Friday: Wrap-up + journaling

🧠 Result: I had a plan in 5 minutes that would’ve taken me an hour to map manually.

Step 2: Auto-Scheduling with Motion

Motion synced with Google Calendar and scheduled my top 5 priorities based on time slots, deadlines, and focus blocks.

It auto-rescheduled if meetings popped up.

🧠 Result: No more dragging tasks around. Everything got slotted — including breaks and emails.

Step 3: Content Creation with Notion AI + Grammarly

Using ChatGPT, I generated a rough draft of a client blog post.

Then I pasted it into Notion AI, which helped organize, structure, and rewrite awkward sections.

Grammarly polished the tone and readability.

🧠 Result: A 1,200-word draft that normally takes me 3 hours was ready in 45 minutes.

Step 4: Meeting Summaries with Otter.ai

I had two Zoom calls with clients. Otter:

  • Transcribed everything live

  • Tagged key moments

  • Auto-generated summary bullets

🧠 Result: I didn’t write a single note — but had a full recap in seconds.

Step 5: Journaling and Reflection with ChatGPT

Each night I asked:

“Help me journal about my day using this summary: [summary]. Include 1 win, 1 challenge, and 1 gratitude moment.”

I used the results as entries in Notion.

🧠 Result: AI made journaling fast, meaningful, and consistent.

Outcome: Time Saved and Takeaways

Total Time Saved: ~6–7 hours that week

What Worked Best

  • Letting AI write first drafts (I edited less than I expected)

  • Auto-scheduling tasks helped my brain relax

  • Using prompts creatively (journal reflection, coaching voice)

  • AI summaries were accurate and saved mental effort

What Didn’t Work So Well

  • Motion struggled when my calendar changed drastically

  • Grammarly occasionally changed tone too formally

  • I still needed to proof outputs — AI isn’t perfect

Final Thoughts

AI didn’t replace my work. It just gave me more mental space to focus, think, and execute. It felt like hiring five assistants — all for free or cheap.

If you’re feeling overwhelmed by your routine, I highly recommend experimenting with even one of the tools mentioned.
Then build up from there.
